Sent 2025-01-15: SEPO Election Ballots: Final Distribution Totals & Costs -
As of yesterday (01-14) around noon, all of the 2025 Election Ballot packets had either been picked up, delivered to residences or mailed at the post office.
I thought you might be interested in seeing the totals for each.
I went to the post office and weighed one envelope on Monday. It required three (3) stamps @ $.73 per stamp. The cost to mail 87 packets was $190.53. And that was with one single ballot in the packet!
And that is why you all have been receiving email after email from me to come get your ballots. Look at what that saved SEPO.

Tracy Wagner, your Board Treasurer, who sat in the library for four hours answering homeowners questions.

Tom Perrier, your Board Director of Streets+, who went with me to the post office today to mail the remaining ballots. Of course, I made him carry them :)

everyone who helped me through this entire process to date, answering my questions and guiding me through any process I was unsure of.
I'm so appreciative of you all.
We can all rest for a while until we start up again mid-Feb determining if we have a Quorum and, if so, counting ballots in order to announce the election results at the Feb 18 Annual meeting.
The locked Ballot Box is in front of the office window. You have until Feb 18 @ 1 PM to vote. And I hope you all do so. Bye for now.

REMINDER - MEET & GREET
There will be a "Meet & Greet" session again this year. It is scheduled for Wednesday, Jan 15 from Noon to 1 PM in Retzlaff Hall. This is a means to provide the Candidates with the opportunity to introduce themselves and for you to ask questions.
The Women's Club will be providing goodies during this session.
(And as Pam Davis (Women's Club President) has mentioned previously, if you're feeling generous, there's a signup sheet in the library for anyone who would like to bring some tasty goodies to share! 🍪🍩)

BALLOT PACKET PICKUP:
On Saturday, Jan 11 and Monday, Jan 13, from 10 AM to Noon each day, the Election Committee will be in the library handing out ballot packets to homeowners. Only an “owner” may pick up the materials. The owner must provide proof of identity and sign for the materials. The Election Committee will then co-sign to verify they were picked up.
I know some of you are thinking - everybody knows me. However, no ID - no packet.
The packets will be handed out based on the street you live on. So look for 'your street' sign, either on a wall or table, upon entering the library. And yes, if you own multiple homes on different streets, that may mean you will be picking up from different committee members.
We did this last year and it saved SEPO quite a bit on postage. The temps this weekend and into Monday are predicted to be somewhat better. So come on over and get your packet(s).
MEET & GREET:
Mark your calendar. There will be a "Meet & Greet" again this year on Jan 15 from 12 to 1 PM in Retzlaff Hall to provide the nominees with the opportunity to introduce themselves and for you to ask questions. The Women's Club will be providing free goodies during this session. I encourage everyone to attend and get to know the nominees better.

SAVE THE DATE
I hope I'm not jinxing myself by sending this info out today, but here goes.
If everything goes as planned, the Election Committee will have the 2025 SEPO Election Ballot Packets ready for pickup in the library on both Sat, Jan 11 and Mon, Jan 13 from noon to 2 PM each day.
(I want to make note that as I was posting this email on this website page, I just now noticed the times for ballot packet pickup were incorrect in this email. However, as you can see above, I did announce the correct times of 10 AM to Noon in subsequent emails and meetings. Plus an email went out Saturday morning (Jan 11) @ around 10:30 with pictures of committee members indicating we were all ready and waiting in the Library for pickup by homeowners. I apologize for any confusion this particular email on Jan 6 might have caused.)
Please attend the "Residents & Directors" meeting in the hall tomorrow, Jan 7, @ 1 PM where I, as the Election Committee chairperson, will give a brief rundown of the steps that we will be executing for the upcoming election.
Of course, come eat Tacos, prepared by the Women's Club, before the meeting.

I’m sure you all know by now I volunteered and was appointed by the Board as the Chairperson of the 2025 SEPO Election Committee. I want to thank those who have already volunteered to help. We could get everything done with the number of volunteers so far, but if I could get four or five more of you to step up, I wouldn’t anticipate anybody being burdened with too many tasks.
Thanks to everyone who has replied to the emails concerning “Directory verification” and “where to address your Ballot packet to”. I’m working with Valerie to get as much done prior to receiving the SEPO Board candidate names at the January 7 “Residents & Directors” meeting. Also, I will be reporting on some of the ‘ins and outs’ of this committee at this meeting. Hope to see you there. Contact me anytime with questions at my info below.

Thanks so much to all who replied with updates to the SEPO Directory. Those updates are now available on the Website at the 'fixed' LINK.
Concerning this file, I need one more question answered by everyone by end of day this Friday, Dec 27, 2024, to let me know if you need your Ballot Packets mailed SOMEWHERE OTHER THAN YOUR SUNSHINE ADDRESS. The office is currently preparing the envelopes for the packets so the sooner you reply would be appreciated. The ballots will be distributed/mailed sometime between Jan 9 & 16, 2025.
(I have already received this info from a couple of you. Thx so much.)
Per the Election Committee Guidebook, by providing this information to the Election Committee, it should resolve issues of a homeowner who is not physically in Sunshine at the time of the election and who may not receive the ballot(s) in time to return it/them by the due date, which for this year's election is Feb 1, 2025 @ 1 PM. If a resident doesn’t reply to the address question above, they will have their election materials mailed to their “Sunshine” address on file as recorded by the SEPO Office.
One more thing about the directory currently on the Website, if you see any of your info in 'black & white' I need you to contact me please.

Hi All – As I said several times during last year's election, I had a super super team of residents who assisted me on the Election Committee. However, this year, personal circumstances / other commitments are prohibiting a lot of them from participating in this process again.
Therefore, I am looking for some of the rest of you to step up and assist me in the process this year. Last year I learned a lot and we also had some 'lessons learned', which should make things go a little smoother this time around. And I for one, had a fun time heading this committee, working with my friends/neighbors, knowing I was serving this great community.
FYI - The bulk of the work for the Election Committee won’t be starting until after the Jan 7, 2025 “Residents & Directors” meeting. At that meeting the Election Committee receives the nominees’ names and we hit the ground running. I'm already working with Valerie to prep as much of the packets as we can now. Mailings need to be done by Jan 18, 2025 this time.
